Description Job Title: Human Resources Assistant Hours: Up to 20 hours per week; Mon-Fri 1pm-5pm Pay/Salary: $12 per hour Reports to: Human Resources Director Location: Corporate Office- 3104 Avenue J, Fort Pierce, FL 34947 1 . J O B P U R P O S E The Boys & Girls Clubs of St. Lucie County takes changing the lives of youth to heart. The primary functions of the Human Resources Assistant are to assist with the daily administrative and HR duties of an organization and to provide clerical support to all employees. 2 . D U T I E S & R E S P O N S I B I L I T I E S The duties include, but not limited to: Office Administration Reception services:

  • Answer/respond to phone requests and forward appropriately
  • Receive and direct visitors and clients
  • Review voice-mail messages and emails and direct as appropriate
  • Incoming and outbound mail management; Fax management General Office Support:
    • Maintain office supply inventory
    • Organize and maintain Van log for authorized drivers (both electronic and paper)
    • Operate a variety of office equipment including computer, copier, and fax machine; utilize various computer applications and software packages
      • Completes day-to-day requirements, expediting work results Human Resources Administration
        • Participate in administrative staff meetings and attend other meetings and seminars as necessary; Participate in developing department goals, objectives, and systems
          • Assist Human Resources Director with updating of the Human Resource section of the company's website
          • Works closely with the Human Resources Generalist to maintain personnel files in compliance with applicable legal requirements
            • Assists Human Resources Director with advertising employee job openings first internally, then externally in keeping with company recruitment policy
              • Assists the Human Resources Director with managing volunteers in order to match them with an opportunity that suits their skills set and serves the organization. OTHER DUTIES & RESPONSBILIBITIES
                • Actively participate in BGCA trainings, internal trainings, and All Staff meetings
                • Completes any additional assignments as requested by the Human Resources Director 3 . Q U A L I F I C A T I O N S BACKGROUND SCREENING
                  • Must submit to and pass Level 2 background screening through the Florida Department of Children & Families.
                  • Must pass pre-employment drug test CERTIFICATIONS
                    • Current CPR/First Aid certification preferred, but not required EDUCATION / EXPERIENCE
                      • Minimum of High School Diploma.
                      • Prior experience as an administrative assistant and/or human resources assistant is highly beneficial. SKILLS/KNOWLEDGE
                        • Strong scheduling and/or prioritizing skills with strong proficiency with data entry
                        • Ability to handle multi-phone lines effectively
                        • Proven ability managing multiple priorities; strong organization, detail and process management orientation
                        • Working knowledge of office machines and equipment, e.g. fax machines and photocopiers
                        • Strong proficiency with computers, data base entry and with full Microsoft Office suite, email, and internet
                        • Excellent written and verbal communication skills; above average interpersonal skills
                        • Ability to read, analyze, and interpret data and information and apply appropriate judgment
                        • Passion for providing extraordinary customer service and work with people at all levels
                        • Demonstrated ability to work independently without supervision: Ability to make decisions independently
                        • Honesty and integrity are critical to this organization
                        • Exercise good judgment and maintain confidentiality of critical and sensitive information, records, and reports.
                        • Understand, interpret, and apply general administrative and departmental policies and procedures. TRAVEL Some travel may be required for training and/or other business purposes. 4 . W O R K I N G C O N D I T I O N S Fast paced work environment; flexibility to working schedules may be required due to changing business demands.                           • The usual and customary methods of performing the job's functions require the following demands: some lifting, carrying, pushing and/or pulling, stooping/kneeling, reaching with hands and arms, and finger dexterity.
                            • This position requires extended talking, listening, sitting, walking, and standing; computer viewing, and keyboard entry. Regularly lifting up to 25 pounds.
                              • Daily operation of personal motor vehicle relevant to carrying out job duties is required for this position. Ability to think strategically and ability to sit for more than four hours per day. 6 .
